What should I consider when choosing a new mailing service?
When choosing a new mailing service, you should focus on five things: volume thresholds, turnaround, in-house capability, data handling and postage expertise. A provider that’s upfront about all of these is easier to compare fairly against other quotes.
What should I consider when choosing a new mailing service?
Direct mail has a lot of moving parts, so it helps to compare suppliers against the same checklist. Here’s what to look for and what should make you think twice.
Volume thresholds
Ask what minimum quantity qualifies for bulk postage discounts. Bulk mailing services typically require at least 4,000 standard letters or 1,000 large letters to secure sorted mail rates, though minimums can vary by service and format. A supplier who can’t give you a straight number is a red flag.
Turnaround
Once your data and stock are with the mailing house, ask how long production and despatch actually take. A well-run bulk mailing project, depending on the quantity, typically takes three to four working days from receipt of data to despatch. Vague answers here often mean the process isn’t as controlled as it should be.
In-house capability
Check whether print, personalisation, enclosing and postage all happen under one roof, or whether parts are outsourced. Keeping everything such as litho and digital printing, automated enclosing, and postage buying in-house reduces handling points and the risk of delays between suppliers.
Data handling
Your mailing list needs a health check before it goes to print. Ask how the mailing house cleans it or removes duplicates, gone-aways, deceased records and anyone registered with the Mailing Preference Service.
Data cleansing is a standard service offered by mailing houses, but will incur additional charges. To identify potential quality issues, The Mailing People offers a free data audit which allows you to decide what cleansing is worthwhile before your mailing goes ahead.
Postage expertise
Look for accreditation and access. Membership of Royal Mail’s Strategic Mail Partnership, Mailmark® eligibility and downstream access to multiple delivery providers all point to a supplier who can shop around on your behalf, rather than defaulting to standard rates.
What questions should I ask and what red flags should I watch for?
Beyond the five factors above, a few extra questions are worth asking before you sign anything:
- What data security accreditation they hold, such as ISO 27001 certification and GDPR-compliant processes. If they can’t point to independently verified security standards, that’s a risk with your data, not just a box-ticking exercise.
- Ask about contract length and exit terms. A supplier that locks you into a long minimum term, with no easy way out, limits your options if the service doesn’t perform.
- Examples of work in your sector. A mailing house with relevant case studies or client references can show you what they’re capable of, rather than just describe it.
- Who your day-to-day contact will be. A single named account manager tends to catch problems faster than a rotating team or a call centre queue.
- Ask what happens when something goes wrong, such as a printing error or a missed deadline. How a supplier handles mistakes says more than how they describe their process when things go smoothly.

What happens once you appoint a mailing house?
The process usually includes a consultation, quote, order placement, data processing, print proofing, pack approval, postage payment, then release to post. Each stage should be visible to you before it moves to the next.
Comparing suppliers against these five points takes the guesswork out of choosing a mailing house and it’s worth checking who we’ve helped to see our work in practice.
