ISO 27001 ensures data stays safe by embedding security into everyday operations, enforcing controlled access, minimising risk, and providing independent assurance that robust safeguards are in place. It requires a systematic, independently audited approach to information security, rather than relying on ad-hoc controls or good intentions. This includes:
- A formal Information Security Management System (ISMS) which documents how information is protected across people, processes and technology. Risks to data are identified, assessed and actively managed on an on-going basis.
- Strict access controls so that only authorised personnel can access client data on a need-to-know basis.
- Staff training in information security and GDPR principles, ensuring accountability and reducing the risk of human error.
- Incident management and business continuity procedures for detecting, reporting and responding to security incidents, as well as plans to maintain data integrity in the event of disruption.

The Mailing People work back from the desired landing date to choose the most cost-effective service and delivery partner such as Royal Mail, The Delivery Group, UK Mail, Whistl, Citipost and One Post, in line with timescales and budget. For all mailings, we print and include two mailing seeds that are posted with the mailing to monitor speed and quality of service.
The Mailing People are accredited and fully compliant with ISO27001 data security standards. Data is transferred to The Mailing People via our secure upload facility and accessed only by trained data handlers. We are independently audited on a regular basis to ensure data is transferred and stored securely in compliance with ISO27001.
Typically, data is stored for 90 days after the mailing date to allow for any questions or queries to be answered that may arise after despatch. This can be agreed per customer in line with customer data agreements.
Typically, from receipt of stock and data, a mailing project will take around 3-4 days to produce and despatch, dependant on mailing quantity.
All data is stored securely in the UK on our own servers, with backup and failsafes for business continuity.
Access to uploaded data is restricted to authorised personnel who are trained in data security and bound by confidentiality obligations. All access is protected through individual user credentials and dual-factor authentication. When acting as a Data Processor on behalf of a Data Controller, mailing list data is securely archived for a period of up to three months following completion of the contracted activity. This retention period exists solely to enable post-campaign analysis or reporting, should this be requested by the Data Controller. At the end of this period, or sooner if instructed, the data is securely deleted or returned, in line with the Data Controller’s instructions and the agreed contractual terms. Data is not retained beyond the point at which processing is no longer required.
